Security Deposit & Fee Liability Policy

At Camelot Ludus, we ensure financial transparency while protecting the school’s planning, staffing, and resource commitments for the academic session.


1. Security Deposit (Refundable)

  • A one-time security deposit is collected at the time of admission/enrollment.
  • This deposit is refundable only at the end of the academic relationship, subject to the terms below.
  • The deposit is not adjustable against regular monthly fee payments except for deductions due under policy.


2. Monthly Fee Payability

  • The school fee for every month becomes payable in advance on the 1st of each month without reminder or invoice.
  • Failure to deposit the monthly fee does not waive liability for the month(s) where deductions apply.


3. Security Deposit Deductions

The security deposit will be deducted, in full or part, in the following cases:

         a. Same-Month Withdrawal Decision

  • If a parent communicates the decision to withdraw the child after the 1st of an ongoing month, the full month’s fee becomes chargeable immediately.
  • If this fee is not paid, it will be deducted from the security deposit.

         b. Attendance-Based Fee Liability

  • If a child’s attendance is marked even for one day in any month, or the child participates in any school activity, class, or event in that month, the complete fee for that month will stand chargeable.
  • If the fee is not cleared, it will be deducted from the security deposit.

         c. Activity/Enrollment Use in Month

  • If the child attends, appears on register, or participates in any academic/session activity, this is treated as consent to avail schooling for that month, making the fee deductible even if parent later opts to withdraw mid-month.


4. Mid-Session Withdrawal Fee Liability (June & July Clause)

  • If you choose to withdraw your child on or after 1st January of the ongoing academic session, the months of June and July become compulsory payable months due to annual session planning and resource allocation.
  • Parents withdrawing on or after 1 January will be liable to pay June & July fees in full, even if the child does not attend physically.
  • If this payment is not made, the amount will be deducted from the security deposit.


5. Withdrawal Fee Liability from Security Deposit

Parents will be liable for monthly charges — and the month’s fee will be deducted from security deposit automatically if:

         ✔ the child’s attendance is marked in the month

         ✔ the child participates in class or any school activity (even 1 day)

         ✔ the withdrawal is communicated after 1st of the same month

         ✔ fee for the month is not cleared in advance

These deductions apply with no exception if attendance is already recorded or schooling services were availed.


6. Refund Timeline & Eligibility

  • Security deposit refunds are processed only after a written withdrawal request has been submitted and all liabilities (if any) are cleared or deducted.
  • Refund requests will be reviewed within 30 working days from the last chargeable liability deduction or clearance.
  • Refunds may be withheld or adjusted if any damage, dues, or policy-covered liabilities remain outstanding.


7. Mode of Communication for Withdrawal

  • To be eligible for refund process, parents must:
  • Submit a written/email withdrawal request to Admissions Office
  • Receive a written acknowledgment by the school
  • Allow policy-mandated deductions if applicable
  • Verbal withdrawal communication is not treated as formal notice.


8. Non-Refundable Situations

Security deposit will not be refunded or will be adjusted if:

        ❌ withdrawal is communicated after 1 January without clearing June/July fee liability

        ❌ attendance is recorded in a month where fees remain unpaid

        ❌ child has participated in schooling/services in a month even for 1 day

        ❌ any damage, misconduct, or resource cost liabilities remain


9. Policy Acceptance at Admission

  • Admission into Camelot Ludus is treated as full acceptance of:
  • Monthly fee advance payability
  • Attendance-based fee liability
  • June/July fee clause post 1 January withdrawal
  • Deduction of monthly fees from deposit if attendance is marked or withdrawal decision is delayed after 1st of the month
